Summary

The Sr. Sales Support Administrator is responsible for supporting complex accounts, working directly with the NAM and Project Team on assigned accounts. In this role, it will be necessary to assure that all proposals and contracts are properly processed, assist with the set-up of new accounts, maintain customer account profiles, work with large amounts of data, and provide various sales reports as needed. Due to the structure of Vector Security Networks, the workflow of an existing customer is a constant of ongoing projects, which requires attention to detail, multitasking, follow-up action, account maintenance, and Customer Service research. This position requires a solid understanding of all Sales Administration functions by demonstrating the ability to work independently at all posts on the team.

What You'll Do

  • Sales Workflow Tasks:
    • Obtaining data needed for Quote creation:
      • Via customer database (Project Mates, Resource, Big Sky, etc.), construction schedules, customer emails, D365 Tasks.
    • Creation of Sites, Billing Accounts, New Brands and Master in D365:
      • Making any changes/updates to these items as needed.
      • New sites can be created in Prequal program or can be manually entered in D365.
    • Creating new Bill to in Mastermind
    • Generating quotes in Microsoft D365
      • Complex Accounts
    • Creating and submitting Schedule A documents (CIA, CPSA):
      • Via email, or customer database/systems/format (DocuSign, Project Mates, Resource, Loaders, etc.)
    • Follow-Up on Status of Booking.
    • booking Quotes.
    • Revise Quotes.
    • Coordinating with NAMS’s Or Liaisons for Construction schedule.
    • D365 Support and acting as the first point of contact for all D365.
    • Working with the Contracts Team to submit, manage and resolve Booking Exceptions.
    • Managing Third party software required by various customers concerns issues for the team.
    • Team Workflow & Out of Office Coverage.
    • Maintaining existing or creating new Customer Profile Sheets and Procedures to ensure they are accurate and up to date at all times.
    • Participate in New Customer calls – internally and with the customer.
  • Project Workflow Tasks:
    • Emergency Data Sheets.
    • File Maintenance Recur Set Up.
    • Update trackers and SharePoint.
    • Research billable documentation for discrepancies.
    • Interdepartmental Projects.
    • Manage the incomplete for the project billing que.
    • Processing all RMR cancellation requests.
    • Troubleshoot / SA Escalation.
    • For new customers, gather information for who customer invoices will be sent to.
  • Communication Tasks:
    • Participates in A-Team Calls.
    • Reports on Sales Activities.
    • Serves as a liaison between many different departments (NAM, Install, Billing, Contracts, Customer).
  • Housekeeping Tasks:
    • Clean up old quotes.
    • Audits.
    • Sales Administration Department Projects.
    • Providing extensive billing research when needed.
    • Maintaining all Customer Profile Sheets and Procedures to ensure they are accurate and up to date at all times.
What You'll Need

  • Education/Skill Level/Experience:
    • College degree or equivalent experience in related field required.
    • Minimum 2-4 years as a Sales Support Admin preferred, or equivalent.
    • customer service/sales administration.
    • Advanced customer service/sales administration skills.
    • Proficient computer and MS Office skills.
    • Excellent time management multi-tasking and organizational skills.

  • Communication/Interpersonal Skills:
    • Must be able to communicate and effectively work with a wide variety of people (both internally and externally.
    • Challenge of this position is to handle a large volume of business on a daily basis and multi-task.
  • Analytical/Organizational Skills:
    • Must be able to effectively manage large amounts of data and multiple projects.
    • Meeting all deadlines is critical to the success of this position.
    • Business processes and planning have to occur at both the high level and detailed level.
  • Industry/Job Knowledge:
    • Need to have experience working with a sales organization and directly with customers.
    • Experience within the security industry, while not mandatory, does help to ensure this position can.
  • Ability to work Independently:
    • Position must be able to know when to act independently and when to engage management.
    • Very fast paced environment, person must be able to multi-task and once properly trained, utilize that training to work independently.
  • Conflict Resolution:
    • Minimize and provide resolution to conflicts that arise between the customer/customer’s vendors and Sales/Operations.
  • Computer/Software Proficiency:
    • Vector provided systems.
    • Project proposals, bookings, reporting, tracking.
    • Excel – customer reporting.
    • Tracking Outlook – high volume of email traffic.
    • Communicating with Account Teams and customers.
  • Business Leadership:
    • Must have an understanding of how to conduct business at an elevated level.
    • Professional hard and soft skills necessary to efficiently and effectively manage, develop, and motivate all members of account teams.
  • Confidentiality:
    • Must be able to maintain both company and client confidential information.
    • Position demands someone with a level of integrity.
