Summary

The Special Events Manager will manage Pasadena Humane’s annual signature fundraising events and oversee third-party fundraising events.

JOB DUTIES AND RESPONSIBILITIES MAY INCLUDE:

  • Plan, organize, and implement Pasadena Humane’s annual signature fundraising events, including managing all event details including pre-event, day of organization, and post-event.
  • Manage and increase revenue for all signature fundraising events, community fundraising events, and third-party fundraisers.
  • Assist with all other department events, including cultivation and stewardship events, as needed.
  • Solicit in-kind donations for the organization as needed.
  • Work with the Philanthropy Manager to identify and solicit potential event sponsors, create sponsorship proposals, conduct sponsorship presentations, grow the sponsor base, and ensure appropriate recognition and fulfillment of sponsor benefits.
  • Work with the Philanthropy Manager on donor cultivation and stewardship events.
  • Interface with the Outreach Programs Manager on community outreach events and public programs as necessary.
  • Prepare and oversee event budgets annually for organization approval.
  • Oversee, track, and report on all event expenses and revenue while maintaining records and inventories of supplies.
  • Coordinate with the Communications Department to develop both digital and print promotional event materials.
  • Schedule and manage event committee meetings; prepare agendas, minutes, meeting reminders, and reports as needed.
  • Work with the Volunteer Services Department to coordinate event volunteer opportunities, job descriptions, scheduling, and training.
  • Conduct both internal and external presentations as needed.
  • Coordinate and participate in speaking engagements to donor groups.
  • Convey the organization’s mission to the community, donors, and volunteers while maintaining tact, diplomacy, and confidentiality.
  • Write copy for e-blasts, website, SCOOP, emails, and other communications as necessary.
  • Monitor, evaluate, and report on progress toward meeting goals.
  • Meet annual productivity and performance expectations.
  • Follow organization-wide branding efforts.
  • Follow and adhere to the annual Philanthropy Plan.
  • Submit expenses for approval and collaborate with department staff to meet annual expense budgets.
  • Subscribe and adhere to AFP’s Code of Ethical Principles and Standards, promote the Donor Bill of Rights, and maintain donor confidentiality at all times.
  • Uphold Pasadena Humane’s mission and Core Values, and contribute to building a culture of philanthropy.
  • Work as a team member with other departmental managers.
  • Perform and participate in special projects, events, and other duties as assigned.

Requirements And Qualifications

  • Minimum 5 years of experience delivering special events at least 2 years in a non-profit organization, on a development team. Experience in animal welfare or animal shelter preferred.
  • Bachelor’s degree from an accredited four-year college or university in communications or a related field or an equivalent combination of education and experience.
  • Self-starter with extraordinary organizational skills and attention to detail.
  • Ability to work and thrive in a fast-paced environment with shifting priorities.
  • Flexibility with hours and schedule to accommodate events and workload.
  • High energy with the stamina necessary to manage events with accuracy under pressure.
  • Skilled at both leadership and relationship building.
  • Determination to grow the fundraising base and community support for Pasadena Humane.
  • Excellent written and verbal communication skills including public speaking.
  • Excellent mail merge skills required
  • Excellent computer skills, including competency with CMS databases, Microsoft Excel, and Word.
  • Basic graphic design skills are preferred.
  • Strong sense of professional judgment and ability to maintain confidentiality.

  • Must interact positively with supervisor, management, coworkers, volunteers, and the public to promote a team effort and maintain a positive and professional approach.
  • Must be able to work independently with minimal supervision.

WORK SCHEDULE

Must come to work regularly and on time. Must be available for early hours. Must be able to work early hours according to the needs of the department schedule, including weekends and holidays. Evening and weekend event participation is required.

WORKING CONDITIONS

Fast-paced environment. Employees are exposed to numerous animals (living and deceased), including those with uncertain dispositions. They are required to act in a safe and responsible manner.

Vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
