A. JOB SUMMARY:


The Recruiting Coordinator will play a pivotal role in the talent acquisition process, ensuring a seamless and efficient recruitment experience for candidates and hiring managers. This position will support the Human Resources team by coordinating all aspects of recruitment and onboarding, managing candidate communication, and maintaining our applicant tracking system. The ideal candidate will possess excellent organizational and communication skills, with a strong attention to detail.


B. ESSENTIAL DUTIES / RESPONSIBILITIES:

Recruitment Coordination

  • Identify sourcing tactics leveraging employer branding managed by local and Group HR (corporate); primarily for operations/production floor hires.
  • Conduct screening interviews for mutual fit.
  • Coordinate and participate in recruiting events.
  • Schedule interviews and coordinate logistics between candidates and hiring managers.
  • Manage communication with candidates throughout the recruitment process, ensuring timely responses and a positive candidate experience.
  • Assist in the preparation and execution of recruitment materials, including job postings, assessments, and interview guides.
  • Create offer letters with parameters defined by the HRBP and Director.

Applicant Tracking System (ATS) Management

  • Maintain and update the ATS, ensuring accurate and up-to-date candidate information.
  • Generate reports and provide metrics on recruitment activities and outcomes.

Onboarding Support

Coordinate the onboarding process for new hires, including preparing new hire documentation, scheduling orientation sessions, and liaising with relevant departments.

C. REQUIRED EDUCATION:

Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.

D. QUALIFICATIONS/EXPERIENCE:

  • Experience:
  • 1-2 years of experience in a recruitment or HR administrative role, preferably in the pharmaceutical or biotech industry.
  • Familiarity with applicant tracking systems (ATS) and HR databases.
  • Skills:
  • Excellent organizational and time-management skills.
  • Strong communication and interpersonal abilities.
  • Attention to detail and the ability to handle sensitive information confidentially.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

F. PHYSICAL REQUIREMENTS/ENVIRONMENT:


• Frequently required to travel to other locations in the facility to meet with employees.

• Sitting 75% of the day; walking 25% of the day.

• Lifting requirements are slight and related primarily to files.

• Finger dexterity required to operate computer keyboard.

• Hearing at a level to enable one to hear normal conversation.

• Visual requirements of having the ability to read the computer screen, documents.

• Traditional office environment. Some production area exposure.

• Frequently subjected to irregular hours.

• Frequently subjected to pressure due to time demands.

• Infrequent travel.


G. SCOPE OF DECISION-MAKING:


Decisions require some judgment. Perform repetitive or routine duties working from detailed instructions and under standard procedures. Requires making minor decisions.

H. LEVEL OF SUPERVISION PROVIDED:


Individual contributor, not responsible for the work others.


I. INTERNAL / EXTERNAL CONTACTS:


Requires contacts to carry out company policy and programs. Improper handling will have considerable effect on operating results. Must often deal with persons of substantially higher rank on matters requiring explanation, persuasion and obtaining approvals.
