Haute Living: Purchasing Coordinator


About the Job:

The Purchasing Coordinator is at the center of our operation. Bringing all of the pieces of the puzzle together; administration, vendor relations, order tracking, and sales’ project management. The position will expertly coordinate and execute hundreds of projects annually, delivering excellent results and exceeding client expectations.


The Purchasing Coordinator is a self-starter, organized, detail-oriented, has elevated communication & client service skills, is a collaborative and flexible team player, and welcomes accountability.


The position reports directly to the Operations Manager.


Key Responsibilities:

Purchasing & Administration

  • In coordination with the sales team from both Chicago & NYC locations; create and send all purchase orders to the manufacturer(s) using Quickbooks and Salesforce
  • Review and approve order confirmations from the manufacturer(s), assuring complete accuracy
  • Input & upkeep detailed data in Salesforce for process automation and report generation
  • Track all orders’ progress thereafter and meticulously administer until delivery
  • Serve as the main point of communication with the manufacturer on all orders, liaising with HL sales and/or entering information and updates into Salesforce (i.e. production lead times, delays, etc.)
  • Work closely with Logistics through final delivery and assist in resolving Customer service issues

Vendor Communications

  • Maintain and organize Brand Library and daily Brand communications
  • Ensure new vendors are properly onboarded and all relevant information provided to all team members.
  • Provide elevated brand communication, creating efficient processes and partnerships with all 100+ brands.


Our Requirements:

  • 1+ years of experience in a purchasing, administrative, or a similar field
  • Strong verbal/written communication skills
  • Excellent organizational and time management skills
  • Ability to maintain relationships with several cross-functional partners
  • Quickbooks, Salesforce, any CRM experience a plus
  • Employment type
