Pro Bono Coordinator

Kilpatrick, a large international law firm, is seeking a Pro Bono Coordinator in our Atlanta office. This position will be part of our team of attorneys, paralegals and support staff providing a high level of service to both internal and external clients. This position is responsible for providing support to the Kilpatrick Pro Bono Program, which serves all of the firm’s domestic offices.

Essential Job Functions

  • Perform the following administrative functions to include:
    • Maintain the Pro Bono Database to include inputting new matters and status updates from attorneys; reporting system errors; managing database upgrades.
    • Troubleshoot transition to new pro bono database & other applications.
    • Provide monthly reports to the Pro Bono Committee and Firm department & team leaders; track monthly pro bono hours; prepare end of the year reporting figures; respond to nonprofit audit reports; prepare other reports as directed by the Pro Bono Partner or Pro Bono Manager.
    • Assist with new pro bono matters to include requesting and reviewing conflict reports; drafting engagement letters and opening new matters using firm procedures; training/supporting other administrative staff to perform these tasks.
    • Assist with closing pro bono matters, to include ensuring all work has been properly saved in the DMS, closing letters sent, and matters properly transferred to another attorney at Kilpatrick or transferred to another firm, as required.
    • Respond to all outside requests for pro bono services, including letters from people who are incarcerated and others who contact the firm by phone or email.
    • Assist with national summer associate pro bono program; including tracking summer matters; scheduling and supporting CLE programs and pro bono clinics.
  • Perform the following marketing functions to include:
    • Assist Pro Bono Manager with drafting firm & attorney award nominations.
    • Update firm marketing materials, intranet/sharepoint site, and external website.
    • Assist with internal pro bono marketing pieces such as annual reports, firm newsletter submissions and firm posters.
    • Retain and organize pro bono articles & press releases.
    • Order and distribute monthly Pro Bono Club awards to recipients in every office.
    • Coordinate ads needed for fundraising events that Kilpatrick sponsors.
    • Provide significant support for creation and editing of annual Pro Bono Video.
  • Perform the following functions related to training including:
    • Handle logistical details for in-person and hybrid pro bono training and recognition events – coordinate with office services, hospitality, IT, security.
    • Update the LMS with pro bono training manuals, recordings and materials from internal and external training programs.
    • Maintain updated training materials on the LMS to support attorneys, paralegals, and other legal professionals on pro bono policies and practices.
    • Prepare CLE submissions.
  • Support Special Pro Bono Projects:
    • E.g. Afghan Affirmative Asylum (and similar projects) – Provide updates and assistance to teams of attorneys representing several Afghan women seeking asylum through an expedited process; track assignments and deadlines.
    • Business Client Collaborations – Assist with pro bono projects designed to pair Kilpatrick attorneys with those in legal departments of the firm’s business clients.
  • Financial
    • Submit vendor payment requests; follow up and report when paid; maintain proper documentation.
    • Facilitate payment of litigation-related expenses for pro bono matters, such as court reporters, experts, travel.
    • Responsible for firm accounts with vendors for telephonic interpretation and document translation.
    • Document and submit payment requests for contributions to legal services organizations from which the firm accepts pro bono referrals.
    • Submit expenses for Pro Bono Partner and Pro Bono Manager and for pro bono program costs, such as CLE, food, memberships.
Knowledge/Skills Required

  • College degree and law firm experience preferred.
  • Knowledge of Outlook, Word, Excel, PowerPoint, SharePoint, Teams.
  • Some experience with database management and knowledge management preferred.
  • Must be detail oriented.
  • Ability to multi-task and manage multiple priorities and deadlines.
  • Strong communication skills, both oral and written.
  • Excellent with customer service.
  • Must be a good planner who is detail-oriented and able to organize and prioritize.
  • Strong work ethic, flexible, dependable, and positive can-do attitude.
  • Must be able to maintain high level of confidentiality.
  • Should be resourceful, creative and good at problem-solving.
  • Ability to perform well under pressure.
  • Must be able to adapt schedule to changing environment.

This is a full-time, regular position with a multi-faceted health benefit package including medical, dental, and vision. The firm also offers life insurance, short term disability plans and retirement plans in addition to holidays and paid time off. The firm offers hybrid work schedules combining in office work days as well as remote work days. The pay range for this position in Atlanta only is $30.56 to $45.64 per hour.
