We are seeking a proactive and highly organized Personal Assistant to support our Director of Strategy and Operations in managing their daily activities and ensuring efficiency in both personal and professional endeavors. The ideal candidate will be resourceful, discreet, and possess excellent communication and time management skills. This full-time position requires to work on-site at our office in Downtown Los Angeles.

Essential Functions:

  • Manage and maintain the Director’s calendar, including scheduling appointments, meetings, expense, and travel arrangements.
  • Serve as the primary point of contact for the Director, screening and prioritizing communications effectively.
  • Handle administrative tasks and filing as assigned, demonstrating exceptional attention to detail.
  • Organize and coordinate corporate events on behalf of the Director ensuring all arrangements are executed smoothly.
  • Conduct research and compile information as required for various projects and tasks.
  • Prepare, revise, and finalize correspondence, reports, presentations, and other documents with precision.
  • Uphold strict confidentiality and exercise discretion in managing sensitive information professionally.
  • Record, prepare, and distribute meeting minutes accurately and in a timely manner.
  • Supports the director and serves as the go-to person for all needs.
  • Anticipate the Directors needs and proactively resolve issues before they arise.


Requirements and Skills:

  • Proven experience as a Personal Assistant or similar role supporting senior management.
  • Exceptional organizational and multitasking abilities, with a keen eye for detail.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and other relevant software.
  • Ability to maintain professionalism and confidentiality.
  • Strong problem-solving skills and ability to work autonomously.
  • Bachelor's degree preferred but not required.


Additional Information:

  • This role may require occasional flexibility in working hours to accommodate the Director’s schedule.
  • The ideal candidate will be able to work in a dynamic and fast-paced environment.
