About the Role

As the Executive Assistant to the CEO, you will provide high-level administrative support to the CEO as well as other senior executives ensuring efficient operation and effective communication within the executive office and across the organization. You will serve as the primary point of contact for internal and external communication involving the CEO.


You will make an impact by:

  • Providing high level and comprehensive administrative support to the CEO and other executive staff.
  • Proactively managing busy calendars, prioritizing meeting requests with internal and external groups, and ensuring connectivity of remote participants without delay.
  • Being the administrative liaison in support of Board of Director and subcommittee meetings, earnings calls, and analyst/investment meetings. Managing briefing materials and pre-reads, meeting agendas, and presentations.Reviewing all materials for accuracy and completeness.
  • Creating, preparing, and maintaining meeting notes, agendas, reports, presentations, pitch decks, and briefs while keeping current with ongoing projects/initiatives with internal team and external stakeholders.
  • Proofreading documents for spelling, grammar, and layout and make appropriate changes.
  • Arranging and coordinating all business travel for the executive team, with detailed itinerary, and preparing expense reports on an accurate and timely basis in compliance with Company policies and procedures.
  • Organizing and coordinating executive meetings, leadership team meetings, and other key events.
  • Managing event logistics including venue identification, preliminary contract negotiations and event timeline.
  • Overseeing the executive office’s daily operations and all office day-to-day activities to ensure a smooth workflow.
  • Coordinating and owning relationships with any facilities vendors; maintaining office supplies and equipment and ensuring clean organized office environment is maintained
  • Resolving complex problems and exercising good discretion and judgment with regard to involving executive team as appropriate.
  • Making high-level contacts of a sensitive nature inside and outside the company.
  • Supporting administrative activities related to budgets, purchase orders, invoices, vendors, and schedules.
  • Serving as back-up administrative support to other executives and other senior management as needed.
  • Providing support with scheduling interviews as needed
  • Handling administrative details and routine issues independently, and taking responsibility for completing these on time, to a high quality.
  • May perform other duties as assigned.


To be successful, you will bring:

  • Bachelor’s degree in Business Administration, Life Sciences, or equivalent experience.
  • Minimum of 5 years of experience as an executive assistant or relevant office administration experience.
  • Experience supporting C-level executives within and outside the company preferably in the Life Science Industry.
  • Experience in a fast-paced start-up environment strongly preferred.
  • Experience in managing complex travel arrangements.
  • Advanced technical aptitude in Microsoft Office Suite, including Outlook, Teams, Word, Excel, and PowerPoint.
  • Ability to maintain high level of confidentiality and handle sensitive information with discretion.
  • Excels under pressure and maintains a calm professional demeanor at all times.
  • Demonstrated ability to take initiative, anticipate needs of the executive.
  • Ability to develop, implement, understand general company operations, workflows, and procedures as appropriate.
  • Excellent oral and written communication skills with critical thinking skills.
  • Strong organizational skills and attention to detail.
  • Ability to work conscientiously and with minimal direction, using good judgment and recommend actions with minimal direction.
  • Ability to work as a team member, multi-task and be very flexible to adapt to the ever-changing work priorities and requirements of a dynamic, fast-growing company.
  • Ability to lift 10-15 pounds.
