The Team

We are seeking an Event Coordinator who plays a crucial role in our team, contributing to the seamless execution of internal member events as well as external programming at Living Room. In this position, you will be actively involved in every step of the process, from booking to execution and follow-up, ensuring every event is a success. Your responsibilities require thorough administrative preparation, leaving no detail overlooked.

The Role

  • Event Material Creation: Develop and propose comprehensive event materials, including floor plans, customized menus, and run-of-show documents
  • Administrative Duties: Handle various administrative tasks, such as booking events, creating Banquet Event Orders (BEOs), sending proposals, scheduling meetings, coordinating staffing and catering, and other related responsibilities as needed
  • Client Interaction: Conduct site visits with clients, including pre-event walkthroughs, to ensure a clear understanding of client needs, as well as post-event recaps and follow-up with the client. A warm demeanor while interfacing with guests and members on the floor
  • Event Inquiry Assessment: Responding to incoming inquiries with pertinent questions to assess whether the event is a good fit, using the SOPs that the Events Director has created
  • Documentation and Organization: Organize, store, and update event contracts, receipts, partner contact information, and other relevant documents
  • Billing: Handle all event billing and payments. Work in collaboration with Finance Department and Membership Team through the CRM platform and POS system as needed
  • Event Execution: Support F&B team as well as managing the events team while event is taking place
  • Additional Duties: Perform any other duties assigned by any direct reports.


The Ideal Candidate:

  • A passion for orchestrating events that leave a lasting impression, creating unique and unforgettable experiences for attendees
  • An understanding of event planning and coordination, including logistics, vendor management, and the ability to seamlessly execute events from conception to completion
  • Strong organizational and multitasking skills, including attention to detail and the ability to handle various aspects of event coordination
  • The ability to collaborate effectively with diverse teams, communicate clearly, and ensure that every detail aligns with the overall vision of the event
  • Experience in event coordination, preferably in diverse settings, demonstrating a proven ability to bring creative concepts to life


Requirements

  • Possess a minimum of 3+ years of experience in curating and executing both large and small innovative events tailored to unique specifications
  • Demonstrated ability to thrive in a high-volume, demanding, and fast-paced environment, showcasing effective multitasking skills
  • Display leadership qualities, innovation, and adeptness in building strong relationships within diverse teams
  • Maintain a flexible schedule with the capability to work during days, nights, weekends, and holidays when applicable
  • Fortitude in high pressure environments and knack for delivering experiences to the highest standard
  • A background using Tripleseat
  • Familiarity with membership club dynamics as well as interfacing with high profile guests
