Role Description

As a member of our Sales & Event Services team, you contribute to creating memorable events for guests from all over the country and world. You are responsible for planning a variety of groups from start to finish. Examples of these groups include corporate retreats, Associations, family reunions and many more. This position is also expected to assist our Wedding Services Manager. Brasada Ranch is home to the best wedding venue in Central Oregon, and we ensure that our level of service for those life defining events matches those expectations. The success of those events, and the numerous others that our events team hosts, attention to detail, impeccable communication both internally and externally so that we may provide flawless execution.

To be successful in this position, you must enjoy taking ownership of your assigned corporate groups & special events. Attention to detail is absolutely essential. This position will report to the Director of Event Services and will partner closely with the Wedding Service Manager to ensure all departments can meet the demands of the clients successfully. Your attention to detail, organization, and genuine caring will be critical to the success of our event. You take pride in the services you provide and feel a great sense of accomplishment when you receive the feedback from your guests that you just assisted with the "best event ever."

General Responsibilities

  • Plan and detail group and event functions from start to finish.
  • Communicate information Resort-wide in an efficient and professional manner.
  • Distribute information as required to all relevant departments, assemble initial planning information for group contact.
  • Complete Banquet Event Orders, merge documents, data entry, group contact communication, amenities and other tasks as requested.
  • Coordinate distribution of Banquet Event Orders to Banquets, Culinary, and Restaurant departments
  • Point person group billing to include assembling, reconciling, and communication with group to receive final payment within company policies
  • On site contact during events to ensure group requests and problems are handled in a timely, professional manner while complying with company policies
  • Be an active liaison between the guests and other Resort staff to ensure outstanding customer service while maintaining company procedures and complying with company policies
  • Maintain all equipment and facilities in an organized, clean, safe environment.
  • Communicate any areas of need, problems, and concerns from guest to Director of Event Services.
  • Complete administrative tasks as assigned by Director of Event Services or Director of Sales & Marketing.
  • Provide support to the Wedding Services Manager on site during requested events.
  • Perform additional responsibilities and duties as assigned.

Experience/Qualifications

  • Two years' experience in Conference Services or a related discipline is preferred.
  • Four year degree in Hospitality Management or related discipline beneficial
  • Excellent written and oral communication skills required
  • Positive interpersonal and customer service skills required
  • Strong project management skills required
  • Proficiency in the following software preferred; MS Word, Excel, Delphi, Springer Miller Systems
  • Experience in a 4-diamond resort or higher preferred
  • Ability to perform the physical requirements of position
  • Occasionally lifts/carries up to 50 lbs
