As a successful candidate, you are able to juggle multiple projects simultaneously and have experience supporting a high-functioning team. You enjoy taking clients’ visions and ideas and turning them into reality. You love event management and when you travel you even have your travel plans on an excel sheet (and yes, they are color coded). You are able to work under tight deadlines to produce materials based on project timelines without sacrificing quality.

 

 

 

Responsibilities:

 

- Coordinate and assist Event Manager(s) 

- Help support small to large-size event projects. PREFERRED experience with event planning and assistance of corporate conferences, galas, nonprofit events, holiday parties, company retreats, experiential marketing events, and launch events.

- Work closely with clients and the internal team

- Help source vendors as needed it 

- Coordinate and manage event details - venue, vendors, sponsors, speakers, day of, etc.

- Create, design, and coordinate comprehensive event budgets and schedules for each client

- Coordinate, source, secure, and contract all aspects of event management and vendors leading up to the event and event load-in / load-out

- Work on multiple projects simultaneously and prioritize responsibilities

- Implement ways to provide continuous improvement in the event management process

- Negotiate with vendors for necessary event-related details and costs

- Generate event reports and perform event-related follow-up duties

- Continue to foster relationships with existing vendors and establish new ones for cross-referrals and promotions

- Assisting with event needs and day of events (20% travel/ 80% local)

 

Candidate should meet the following qualifications:

 

- 2 years of PROFESSIONAL full-time experience in event planning on events at least $50,000 and above

- Budgeting and negotiation skills

- Deadline-oriented and creative problem solver

- Excellent verbal and written communicator

Solution Oriented

- Ability to positively interact, influence and motivate client, internal team, client and vendors

- Outstanding organization and project management skills

- Ability to work independently as well as collaboratively in a team

- Ability to juggle multiple projects

- Ability to maintain professional standards of excellence with each event produced

- Ability to work with and give guidance to volunteers and staff involved in event planning and execution

- Strong Attention to Detail

- Strong “people” skills

- Flexibility with hours (weekends, evenings) and comfort with travel (domestic, international)

- A true team player who feels accountable for other people’s success

- Commitment to delivering the highest client service standards

- Ability to have fun on the job

- Knowledge of silent auction and registration for events ranging from 50-300 attendees 

- Knowledge of corporate sponsorship outreach

- Knowledge of Microsoft Office (Word, Powerpoint, Excel, etc).

- Knowledge of softwares (Eventbrite, AllSeated, Monday.com, and Dropbox) a plus

- Demonstrated consistent high energy level and flexibility, pleasant persona coupled with sound judgment; flexible, discreet, and ability to maintain confidential information; knowledge of correct protocol for specific situations

- Audio/visual knowledge a plus

- Bachelor’s degree preferred

- Third-Party Agency Experience is preferred


Salary Range: $45,000-$55,000 BOE

Location: Office in Pasadena (Hybrid Work)
