AscellaHealth is seeking an Events Coordinator to join their Marketing department to manage their event planning for internal and external conferences and meetings. This position will develop event project plans, work with vendors, create event agendas and budgets, and assist with all event communications, including promoting company events on social media. They will also track event success metrics and look for opportunities for improvement. The Events Coordinator will collaborate with other departments to ensure successful events for the organization.
This is a hybrid position with 3 days per week in our Berwyn, PA office as a focus when not traveling for business.
What The Position Will Be Doing
Manage the events schedule for the company
Work with the marketing, sales, and business development departments to identify the objectives of an event, and assist with creating concepts, setting schedules and deadlines, and preparing and tracking budgets.
Conduct short- and long-term planning for each event
Assist with conceiving and assembling creative and innovative event themes and attractions to enhance event experiences
Research vendors (meeting space, catering, decoration, etc.) and choose the best combination for quality and cost
Assist with negotiating contracts with vendors.
Book and inspect banquet and catering functions, hotel accommodations, meeting facilities, and other spaces necessary for events and monitor their activities to ensure quality control
Assist with managing the logistical aspects of an event by working seamlessly with other departments and outsourced service providers to host effective and inspiring events
Build relationships with vendors and other business partners by researching and contracting with qualified, high-value service providers and nurturing partnerships with other organizations and businesses
Monitor event costs to ensure adherence to developed budgets including marketing and merchandising, audio-video components, speaker and guest logistics, safety and security, participant services, transportation, housing, catering, etc
Coordinate all event operations (preparing venue, invitations, catering, etc.)
Assist with the development of all communications needed for events including invitations, marketing materials signage, etc
Complete final checks on the day of the event, before and during, (event space layout, materials, catering, technology, etc.) to ensure everything meets standards.
Coordinate and oversee event happenings, and address guest inquiries before, during, and after events.
Provide report-out on each event to Marketing Leadership including lessons learned, overall budget, metrics around success, etc
Attend specific event planning-industry events and seminars and keep up with trends and best practices
Perform other related duties as assigned or as necessary; remaining flexible and adaptable in work schedules and work assignments as defined by departmental and organizational needs
Necessary Skills, Education & Abilities
Bachelor’s degree (or 4-year equivalent) in marketing, hospitality management, public relations, or a related field.
3 or more years of experience in event planning or event coordination in a corporate environment
International corporate event planning experience is desired
In-depth understanding of event management processes and procedures
Experience in managing budgets and tracking expenses.
A proven track record of creative, successful events.
Understanding of key performance indicators in events management
Proficiency in digital event promotion tools such as social media channels
Ability to thrive in a fast-paced environment with constantly changing priorities
Ability to remain calm under pressure
Ability to be highly transparent, ethical, and driven. Relentless attention to detail, and the ability to be a creative self-starter and team player
Excellent written and verbal communication skills are necessary
Exceptional oral and written skills, interpersonal skills, and ability to work closely with other departments
Ability to think and act independently, formulate, and support new ideas, and champion new initiatives within and beyond the scope of own responsibilities
Demonstrated proficiency in Microsoft applications including Word, Outlook, and Excel
