BETAH Associates have an immediate opening for a full-time Conference Manager to execute events for a government client. We are looking for an individual with in-person and hybrid meeting and conference planning experience. The position is on-site in Washington, DC. The ability to work on-site in the DC area is a requirement. The candidate must reside within 50 miles of Washington, DC.
Essential, Knowledge, Duties & Responsibilities
The following essential meeting planning responsibilities include, but are not limited to:
Manages all logistical requirements for event-related tasks issued by Treasury Department COR or designee
Develops meeting materials, provides quality assurance on materials
Assist with design of exhibit booths, manages alI aspects of exhibit booths
Arranges delivery of materials to meeting locations.
Provides on-site support locally and travels to support meetings at remote locations as needed
Organizes optimal staffing for programs
Supervises on-site logistical support
Arranges for one's own travel through BETAH's travel agency
Arrange travel and lodging for supported participants
Assist in the operation of the Treasury Dining Room (TDR) which provides all the in-house catering at Treasury. Assistance in the TDR can include collaboration on catering menus, catering design schemes and front of house assistance.
Flag protocol set-up and logistics, including transport, set-up, and tear down of flags for each event.
Finalizes any additional post-meeting tasks
Recommends innovations for efficiency
Promotes cooperation among team members, clients, vendors
Participates in Treasury Department conference staff meetings and BETAH staff meetings
Keeps BETAH supervisor apprised of major activities and status of client relationship
Meets with BETAH supervisor as requested
Checks BETAH email account at a minimum of once weekly
Adheres to Treasury Department policies plus federal travel and acquisition regulations
Remains familiar with and adheres to BETAH corporate policies
Other duties as assigned
Overseeing the development and executing of post-meeting tasks - including thank you letters, event surveys, etc.
Providing lessons learned after events with recommendations for future events.
