When our keynote speaker canceled last minute, I quickly notified the team and explored alternative options with other speakers. I revised the schedule, extended networking breaks, and planned interactive sessions to fill the gap. I considered using technology to connect with a remote speaker or showing a pre-recorded keynote. I informed attendees of the changes, expressed gratitude for their understanding, and engaged them with activities like live brainstorming and audience polls. By being proactive, flexible, and transparent, I ensured the event remained dynamic and valuable despite the challenge.

También está claro que no cualquier ponente es sustituible, y que la falta de algún que otro puede incluso 'chafarte' el cartel. No existe una solución mágica para una situación así, pero estas son algunas de las formas en que yo gestiono estas situaciones: - Siempre tengo un plan B, y me aseguro de que el plan B asistirá al evento. - Si el o la ponente no es sustituible, redirijo el foco del programa a otro lado: el atractivo principal del evento está en otro lugar ahora. - Menciono al ponente que falta desde el agradecimiento, nunca desde la pena de que no esté. Em primeiro lugar é preciso respeitar o público. Especialmente se foi ao evento justamente para ver o palestrante principal. A partir daí é necessário garantir que o público seja informado o quanto antes da mudança do programa oferecendo, no mínimo, uma alternativa de data ou outro evento equivalente.

One thing I have always considered when planning an event is to ensure there is no single thing or person needed for the event to be a success. Whatever the "main event" is, plan to have 2 or 3. That way when something goes wrong you have your plan B already.

Segun mi experiencia en la organización de eventos lo mejor seria crear una dinamica de competencia entre los asistentes no solo para minimizar el impacto del cambio, sino para lograr buenos comentarios y llamar el interes a participar en dicha dinamica. Por ejemplo aprovechar la tecnologia y realizar una actividad que involucre la interacción de todos y entregar insentivos llamativos a quienes mejor lo resuelvan, es decir premios, bonos, membresias y cosas asi.

Adjusting the schedule swiftly is essential. With the keynote slot now open, rework the schedule to maintain the event's flow. You can extend other sessions, introduce an impromptu networking break, or even offer an interactive workshop. This is your chance to get creative and provide attendees with something unexpected yet valuable. Ensure all changes are clearly communicated to avoid confusion and maintain a smooth event flow.

Dicha dinamica podría ser al final para minimizar el impacto y poder realizar la actividad como una evaluación de lo que se expuso durante el resto del evento, es decir premiar la atención que se presto al tema y a los demas oradores que realizaron su presentación, por ejemplo una dinamica de Kahoot.

Timing is very challenging due to such situation, if you are popular in such team, it should be possible because there is gonna be simmlar tech company that you can reach out to hire their PA system to solve the issue.

Of course engagement with the audience will definitely help but in my experience the last leg of the event should be amazing for the audience. Apart from Q&A sessions and polling, things that work wonders is a short comedy session with a comedian that can create something around the event and the problem. The other must have is a giveaway that is unexpected by the audience. Help the audience leave with some good memories instead of a bad experience.

To enhance engagement and compensate for the disruption, I recommend introducing more interactive elements like Q&A sessions, polls, or live demonstrations. Encourage speakers and facilitators to be more interactive with their audiences. For instance, organizing a live poll or a rapid-fire discussion can actively involve the audience and keep the energy high, even with the unexpected change.

Leveraging technology has always been a lifesaver for me. Consider virtual solutions like live streaming a speaker who couldn’t attend in person or using video conferencing tools for remote presentations. This keeps your agenda intact while offering a modern twist to your event. Always have a tech backup plan ready for last-minute changes; it could be the difference between a hiccup and a hurdle.

Es mucho mas llamativo para los asistentes si se utiliza la tecnologia, pero a la vez siendo prácticos y desarrollarlo de manera sencilla y con los dispositivos que los asistentes puedan tener a la mano, como un simple móvil, una tablet o un portátil; como es el caso de usar una aplicación como la del ejemplo anterior Kahoot.

To add to this, if you send out marketing emails etc, make sure there is an email or similar sent out from not your email marketing service. So many people have newsletter filters on that they may miss this information - which mean they will still have their initial expectations in place on the day. Ensuring your app had clear banner announcements helps too.

Al iniciar el evento se puede realizar una promoción de expectativa y unas capsulas intermedias dentro del desarrollo del cronograma, para llamar la atención y potenciar la atención en cada uno de los elementos del evento, ya que al final podrían llevarse una buena bolsa de premios y conocimientos nuevos gracias a la dinamica propuesta.

Assess the situation and need be advise the Guest ASAP about the situation , in order to put everyone on the same page and look for solutions.

First you must let the audience know if the key speaker cancels appointment at the last moment. However, any one of the following steps may work for you. 1) Ask for a presentation from the key speaker if he has any and run it. 2) You can always invite prominent attendees for a panel discussion on the topic that the key speaker was supposed to talk about. 3) You can deliver an impromptu speech on the topic or can start with a question/answer session. There could be many more options based on the actual situation.

First, communicate with the audience about latest keynote speakers to manage their expectation & dissapointment. On the other hand, always prepare a backup plan, by putting another round of discussion with similar topic that keynote speakers supposed to share. Always prepare yourself when planning an events. Because there is a chance (sometimes many times) an Event always has “a suddenly / suprise moment. Stay calm and stay positive when you face the situation, so that you can think fast and cleary.

You can hire speakers from similar tech company to solve the problem and also time is gonna be challenging so do also consider your time.
